I’ve seen a lot of crowds, but the number of people taking in the Live Green Toronto Festival on Saturday blew me away.

The vendors were displaying a wide range of environmentally friendly products and thousands upon thousands were enjoying the warm weather and taking it all in.

Perhaps Green living is hotter than ever, or Yonge Street closed to vehicular traffic on a summer day is too hard to resist or because it was part of the Festival of India’s parade route. 

Whichever it may be the fact is Toronto loves and supports it’s many and diverse events.

How to Choose a Tent for Your Event

If you plan on renting a tent or tents for an upcoming event it’s a good idea to get up to speed so you’ll know what you can expect unless of course you like surprises.  Tent rentals are a must for outdoor events, not only do they offer protection from wind, rain, or even too much sun, their size announces your event from afar and often helps to create a celebratory mood.  So rental tents are handy but here’s what you should know.

These are a popular choice of rental tents.  What is meant by a frame tent?   It’s a tent that has an aluminum or steel frame built into the roof.   Clean lines, neat and simple design, this is how one would describe the newest generation of Frame Tents.  With no centre poles the structure offers unobstructed views.  Perfect for an evening of entertainment or when room is at a premium. 

They commonly have a hip style roofline meaning the peak is tapered and does not continue along the full length of the tent.  Less common is a gable style with the peak running at the same height throughout the full length of the structure.

Frame tents are available at 10′ wide, 15′, 20′, 30′, 40′, 50′ and the length can be 10′, 15′, 20′ increasing by 10′ increments to  300′.

There is added versatility with a frame tent as you have an option of staking or weighting the tent.  This feature allows frame tents to be used on rooftops and in situations where surface and underground obstructions prevent staking.

Majestic and regal, pole tents add real luxury to the look of your event with dramatic peaks and valleys as the vinyl is stretched tightly over towering tent poles creating impressive rooflines.  The main characteristic defining a pole tent is that there is a centre pole or poles.

Anchoring Methods

Pole tents are tension structures a require staking at all times.  30″ or 36″ stakes are used and can be driven into grass, gravel, sand and asphalt surfaces.  It should be noted that underground utilities and obstructions may prevent the safe installation of these tents

This is a hybrid tent combining the best of both a frame and pole tents into one creating an elegant high peaked roof with a structure that can be weighted or staked and has no obstructing centre poles.  The centre pole is suspended by cross cables overhead.

These structures are next best thing to a building with heavy duty aluminum or steel beam perimeter frames.  These heavy beam frames support sturdy ceiling structure that spans the width creating a clear open area, hence their name “clear span”   For large scale special events and particularly upscale corporate events, the Clear Span tent is the best temporary structure available.

Pop Ups are the only tents that a tent company will offer you without professional installation.  These tents take only a few minutes for first time users and as the name infers they simply pop up and into use.  The frame comes fully assembled and only needs to be spread out, install a top and you are in business.  They are a very popular choice for festivals and exhibitions and can be fastened together creating long lines.

Leveraging Event Publicity To Gain Sponsorship (Part 1)

 How often do you think an event planner is faced with staging an event that is over funded?  Too much money!  Not often I’m sure because we always want bigger & better events.

While I can’t speak on how to acquire these really big budgets, I can tell you how to stretch your’s through sponsorship and having sponsor’s buy into your event.  Specifically, I’ll be discussing Supply Side Sponsorship, however much of the information may be quite helpful in procuring other types of sponsors. 

Largely due to the fact that events require a great deal of equipment, it does tend to make up a considerable portion of many operating budgets.

Supplier sponsorship is the best way to maximize almost any event’s potential.  By using the “Currency” that has the most value, “Your Publicity”, you are able to leverage this to attract sponsors.

 What is Sponsorhip:

Sponsorship is the support of an event, activity, person, or organization financially or through the provision of products or services. A sponsor is the individual or group that provides that support.

What is Sponsorship Recognition? 

Sponsorship Recognition is the support of an event, activity, person, or organization financially or through the provision of products or services in exchange for positive brand recognition.  

What Supply Side Sponsors Want and Why?     

Positive brand recognition, preferably in front of a targeted audience.  Here are some examples:  

  • Exposure to a Logo or Brand The more impressions the better, studies have indicated that it takes 10 – 15 exposures to a brand to recognize and trust it enough to pursue business.
  • Thank You Sign Prominently placed at the event.
  • Equipment Endorsed When events endorse a product this bodes well for sponsors. A sponsor wants the public to be aware of whose products they are and hopefully enjoy their use. The same way a salesman wants you to sit in a new car, we want you to experience there products and take them for a test drive.
  • Print Ads Sponsor’s logo being included in print ads are always wanted.
  • TV & Radio Sponsors love the wide audience that TV and Radio have to offer.
  • A Reminder Certainly, sponsors like attendees to take home their literature or a keepsake with their name on it. The goal is to be “top of mind” so when someone thinks of that product they immediately make the connection.
  • Website Link Here is another commodity, links are a way of boosting a companies Search Engine Optimization. Search engines view companies with more links, among other things as being more relevant & serve them up more often.
  • Peripherals Increased exposure is gained by a sponsor’s brand in peripherals associated with the event such as e-Blasts, announcements, invitations and other promotions.

While my emphasis is on supplier sponsorship, much of this can be lent to other types of sponsors as well.

  • Transportation

  • Accommodations                       
  • Catering, alcohol, the list goes on & on

What Did You Have In Mind?  

What kind of sponsorship are you looking for?

  • Preferred Pricing -               Simply a reduction in equipment pricing, directly related to the value of products given and the level of recognition & exposure received.
  • Donations -     This refers to gifts of property other than cash and marketable securities.  Giving goods that are already at hand is more cost effective for the donor than giving money to buy these same goods. 
  • Monetary Donation -           Generally given by corporations and institutions that really want their name associated with your event and don’t have an appropriate product or service with which to donate…..

Top Ten Ways to Save On Equipment Costs

Get more “bang for your buck”?

These are proven strategies that will help with supply side savings while still producing memorable events.  By keeping these tips in mind during the planning, sourcing, scheduling and execution phases of your event and you can expect measurable results.

1)    Do as much as you can yourself.  It’s not always practical or possible to do everything, but by doing what you can, you’ll see savings.

2)    Get volunteers and interns where possible even if your event is for profit.  When you do have volunteers be sure to manage them efficiently.

3)    Have your suppliers drop ship equipment and install yourself where possible.

4)    Hold your event off season for reduced equipment costs. Gear in July is always costlier than in January. 

5)    Sponsorship recognition – have suppliers buy-in to your event.  This is invaluable so don’t be afraid to use it.  

6)    Hire a Specialist – Outside ‘contract’ planners may save you money so it’s worthwhile to explore that avenue. 

7)    Advance planning, commit early and stick to the plan.  Last minute changes may cost you.

8)    Multi-year deals, quick pay, or early pay allows you to negotiate a better deal.

9)    Grants – even “for profit” may be eligible depending upon their cultural and economic impact.
